Booking guests & admin process

Choices

No one can know better than you what types of conversations and personalities will work perfectly on your podcast.

If you already have guests in mind, you are ahead of the game, but the admin process can still be a pain. This process includes the initial reaching out, booking guests, sending links, sending interview reminders, post interview follow ups and everything in between.

Preparation is key...

Once candidates names have been passed along to me, potential guest communication begins. The initial approach to potential guests is very important, that first email should not look like spam. While the email should be friendly and personalized, it should command respect for YOU and your brand.

The process

Once a dialogue has been established, guest vetting and booking begins through email exchanges. The below bullet points explain the service on offer in a nutshell.

  • Initial discovery process with you, the podcast host or brand manager to obtain suggested individuals with whom they intend to interview.

  • Initial emails sent to those batches of guests. (rule of thumb for "cold call" emails, for every 10 guests approached, only a few will confirm unless you know them personally.)

  • Guest vetting is based on your instructions or needs.

  • Back-and-forth emails with you in copy. This means, sending link information if the podcast will be recorded remotely, collecting of biodata, photos, and handles to be used for social media and show notes later. Moreover, there are emails to prep the guest for interview, sending online platform instructions  (explaining Zencastr, Riverside, Squadcast, Zoom, or whatever your preferred interview platform might be), or a google map for in-person meetings, rescheduling guests who change their dates and times.

  • Sending interview questions prior to the interview date.

  • Interview appointment reminders a day or two prior to the interview

  • A thank you email that includes their scheduled interview link and to let the guest know when the interview will be released - this is important because the idea here is to get them to share the episode on their own social platforms, this leverages their contacts to increase your listenership base.

This service is by far the most time-consuming out of all the other services on offer.

Prices are measured in time spent and interview completion.

Since every podcast is different, it is important that I understand your style. With this in mind, feel free to send me an email to request more information or to book a call to let me know who you are and how I can fulfil your podcast vision!
